Account information: Name, email address, company name, phone number, and password (encrypted) when you register for an account.
Billing information: Payment card details are processed directly by Stripe, our payment processor. We do not store your full card details. We retain your Stripe customer ID and subscription status.
Call data: When your AI receptionist handles calls, we process phone numbers, call recordings, transcriptions, and call metadata (duration, time, status). This data belongs to your business and is stored in your account.
Chat data: Messages exchanged through the website chat widget, including visitor IP addresses.
Knowledge base content: Business information you upload to train your AI receptionist (FAQs, services, pricing, etc.).
Technical data: IP address, browser type, device information, pages visited, and cookies (see our Cookie Policy).
Contact form submissions: Name, email, phone, company, and message content when you use our contact form.
3. How We Use Your Data
We use your personal data for the following purposes and lawful bases under UK GDPR:
To provide our service (Contract): Creating and managing your account, processing calls and chats through your AI receptionist, providing phone numbers, and delivering the platform features you have subscribed to.
To process payments (Contract): Managing your subscription, processing payments through Stripe, and sending invoices.
To communicate with you (Contract/Legitimate Interest): Sending service notifications, call summaries, system alerts, and responding to your enquiries.
To improve our service (Legitimate Interest): Analysing usage patterns, monitoring system performance, and improving the AI receptionist accuracy.
To ensure security (Legitimate Interest/Legal Obligation): Detecting fraud, preventing abuse, maintaining audit logs, and complying with legal requirements.
To send marketing communications (Consent): Only with your explicit consent, which you can withdraw at any time.
4. Third-Party Service Providers
We share your data with the following categories of third-party processors who help us deliver our service:
Twilio (USA) — Telephone infrastructure, phone number provisioning, and call handling.
Anthropic (USA) — AI language model (Claude) that powers the receptionist conversation intelligence.
ElevenLabs / Google Cloud (USA) — Text-to-speech voice generation for the AI receptionist.
Deepgram (USA) — Speech-to-text transcription of phone calls.
Stripe (USA) — Payment processing and subscription management.
Amazon Web Services (EU - London) — Cloud hosting infrastructure where your data is stored.
Microsoft 365 (EU) — Email delivery for notifications and communications.
Where data is transferred outside the UK (e.g., to US-based providers), we ensure appropriate safeguards are in place, including the UK International Data Transfer Agreement (IDTA) or equivalent mechanisms as required by UK GDPR.
5. Data Retention
Account data: Retained for the duration of your account and for 6 months after account closure.
Call recordings and transcripts: Retained according to your plan settings. You can delete individual call records at any time.
Billing records: Retained for 7 years as required by UK tax law (HMRC requirements).
Contact form submissions: Retained for 12 months unless you request earlier deletion.
Audit logs: Retained for 12 months for security purposes.
6. Your Rights
Under UK GDPR, you have the following rights regarding your personal data:
Right of access: You can request a copy of the personal data we hold about you.
Right to rectification: You can ask us to correct any inaccurate or incomplete data.
Right to erasure: You can request deletion of your personal data in certain circumstances.
Right to restrict processing: You can ask us to limit how we use your data.

8. AI and Automated Decision-Making
Our AI receptionist uses automated processing to handle phone calls and chat messages on behalf of your business. The AI generates responses based on the knowledge base you provide. No solely automated decisions with legal or significant effects are made about individuals. Callers can always request to speak with a human, and urgent calls are escalated to your designated contact.
9. Children's Data
Receptri is a business-to-business service and is not intended for use by individuals under the age of 18. We do not knowingly collect personal data from children.
10. Changes to This Policy
We may update this privacy policy from time to time. We will notify you of any material changes by email or through a notice on our platform. The "Last updated" date at the top of this page indicates when this policy was last revised.
